Call For Presenters
VideoRay is accepting abstracts for those who wish to share their experience and expertise at the upcoming VIPS conference in Key Largo, Florida, on October 24th - 26th, 2011.
The VIPS conference is the only event of its kind for owners and operators of micro-sized underwater remotely operated vehicles, run by the world’s leading microROV company. It consistently attracts a focused and enthusiastic group from around the world, representing the entire range of missions and industries for which this emerging technology excels.
If your proposal is accepted, you’ll have 45 minutes to present your topic, then answer questions. Seminar rooms are set up with a projector, and most presenters use Powerpoint slides – sometimes augmented by underwater videos – to illustrate their talks. To get an idea of what we’ve accepted in the past, see 2009 Presentations. However, keep in mind that we are very interested in new topics, or fresh approaches to old challenges.
If your proposal is accepted, you agree to allow VideoRay to include your presentation in the conference proceedings, to promote the event and in other promotions. You retain all other rights including copyright. You agree to send your complete presentation to VideoRay by September 26, 2011, and attend the event. In return, VideoRay will publicize your talk in our website and other promotional materials, including your organization’s web site. We will provide a $500 credit towards the registration cost. And you’ll help a generation of users – several of them new to the technology – to understand what it is capable of and the keys to successful operations.
Presentation proposals on any topic involved with microROV technology will be considered. However, we are primarily looking for presentations which involve lessons that the audience can use to improve their operating techniques or that give them ideas for new missions or uses for their VideoRay equipment.
To propose a presentation please fill out the form below. This requires only some contact and biographical information and a 100 - 200 word abstract. Within one week of your submission, you should hear from us with an acceptance or advice on modifications to your proposal that would make it work better for us.
If your proposal is accepted, we will send you a contract to email back to us. This will state that:
- You understand that your electronic presentation materials (Powerpoint file(s), Video(s), etc.) must be delivered to VideoRay by September 26, 2011 without fail.
- You will also provide speaker notes. These can be embedded in your PowerPoint or in a separate Word Document
- You give VideoRay permission to distribute this material to VIPS attendees.
- You give VideoRay permission to use and distribute all photos and/or videos taken during the course of my VIPS presentation for advertising and/or training purposes.
- You understand VideoRay may distribute all presentation materials with full attribution to their customers and prospects, and post on their web site or for VideoRay use in advertising.
- You retain all other rights to the material, including rights to give this or a similar talk at other conferences.
- You understand that VideoRay will provide a $500 credit towards conference fees for you or your designee, for each presentation accepted, and this credit constitutes full compensation for the presentation.
- Your presentation engagement is not finalized until we receive your email acceptance of the contract terms.
It is VERY important to understand that we will need your presentation materials BY MONDAY, September 26, 2011 . For most presenters, this means a PowerPoint presentation with speaker notes. These will be placed on a DVD that is given to attendees, who may not be able to attend your presentation. Our attendees tell us the DVD is a major benefit of the event, and we cannot disappoint them.
FAILURE TO PROVIDE THIS ON TIME MAY CAUSE YOUR PRESENTATION AND COMPENSATION TO BE CANCELLED ALTOGETHER OR COMPENSATION REDUCED AT OUR DISCRETION.

Abstract Guidelines
Title Composition
BEFORE you fill this out you should decide on a title for your talk, and compose an abstract. Both are very important, as they determine whether our attendees will decide to attend your session, or another session that might be scheduled at the same time in a different track.
The title needs to accurately and succinctly describe your talk. For example:
Retrieving Large Underwater Items Using a Small Micro-ROV
Does a pretty good job of describing that talk. However,
Underwater ROV Mission
Does not – it could accurately describe almost every presentation.
Abstract Composition
Composing an abstract is the most important part of your submission. It must be between 100 and 200 words, and describe and promote your talk to potential audiences.
For example:
Most operating companies use a combination of technical and organizational measures to detect unwanted discharges of oil and gas, among others visual observation. Experience has shown that the current methods and equipment available are not as effective as desired.
Stinger Technology AS, with assistance from NGI (Norwegian Geotechnical Institute), is developing a Micro ROV based tool to investigate gas leakages offshore (referred to as leakROV). Project work has been divided into different phases; 1) Screening available technologies and selecting most promising for our purpose, 2) Development and assembly of the leakROV, 3) Shallow water test (verification), 4) Offshore test (pilot) and 5) Lab test (verification).
The goal for LeakROV pilot project was to evaluate tools and techniques to detect and quantify underwater gas seepages. Several sensors (methane sniffers, acoustic camera and microROV system) have been tested in the field. Suggestions for permanent monitoring are made after a quantitative analysis of data quality and operational feasibilities. Developing regulations and the ability of LeakROV to assist in complying with these will be discussed.

Another example:
To keep pace with the constantly changing threats to national and international maritime critical infrastructure, we must be able to identify and understand the underwater hazardous device (UHD) terrorist threat. By learning to use remotely-operated vehicles (ROVs) effectively, law enforcement and first responders can rapidly assess and mitigate an UHD event without placing a diver in the water or unnecessarily tagging out a ship.
The mobile design of the course brings the solution to customer facilities or operational environments. Operators can use existing ROVs or have an ROV delivered with the training. A-T Solutions instructors present the most current terrorist tactics, UHD design, construction, and deployment techniques. The course introduces participants to ROV UHD searching, reconnaissance, identification, and marking. Training emphasizes tactics, techniques, and procedures for working around and under large-vessel hulls, piers, pipelines, gas and oil platforms, and bridges. The 5-day course consists of 1 day of classroom instruction and 4 days of practical application under realistic, field exercise scenarios.

If you have a abstract done but would like help with “wordsmithing” it, simply note this in your submission and we’ll be in touch.
The easiest way to construct your abstract is to use a word processing program like Microsoft Word. These will do the “word count” for you, and flag most spelling and grammar errors. When you have completed your abstract, you can copy the contents into your paste buffer and paste it into the form. Using the form to enter your abstract is possible, but not recommended.
